Această politică se aplică aplicației Registru și canalului său WhatsApp. Nu acoperă restul acestui site. NCMLABS SOFT S.R.L. folosește Registru pentru propria contabilitate. În prezent, doar administratorul companiei și contabilul ei au acces.

Ce date prelucrăm

  • Date de cont: nume, e-mail, rolul în companie.
  • Pe WhatsApp: numărul de telefon, mesajele și fișierele trimise. Primim mesaje doar de la numerele adăugate de un administrator al companiei și marcate cu acord. Mesajele de la alte numere nu sunt stocate.
  • Documente contabile încărcate sau colectate de companie: facturi, extrase bancare și alte documente, care pot conține date personale, de exemplu ale furnizorilor sau clienților.
  • Jurnale tehnice necesare funcționării și securității serviciului.

De ce le prelucrăm

  • Pentru a ține evidența contabilă a companiei: strângerea documentelor, pregătirea lunii pentru contabil, notificări și răspunsuri prin asistentul Jin (interes legitim).
  • Pentru a respecta obligațiile legale, inclusiv cele contabile și fiscale.
  • Pentru a menține serviciul sigur (interes legitim).

NCMLABS SOFT S.R.L. decide cum și de ce sunt prelucrate aceste date. Nu vindem date personale și nu le folosim pentru publicitate.

Inteligență artificială

Jin citește documentele și răspunde la întrebări folosind modele de inteligență artificială care rulează pe infrastructura noastră. Răspunsurile pot conține erori. Un contabil rămâne responsabil pentru deciziile contabile.

Cui transmitem datele

  • Meta (WhatsApp Business Platform), pentru a trimite și primi mesaje. Meta poate prelucra datele și în afara Spațiului Economic European, potrivit propriilor garanții.
  • Cloudflare, pentru accesul securizat la serviciu.
  • Google Drive, ANAF și SmartBill, când compania folosește aceste conexiuni.
  • Contabilul companiei, prin linkul lunii generat de companie.
  • Autorități, când legea o cere.

Cât timp păstrăm datele

Păstrăm datele cât timp compania folosește Registru și, pentru documentele contabile, cât cere legislația contabilă și fiscală din România. Un număr poate fi scos oricând din lista de destinatari WhatsApp de către un administrator al companiei.

Drepturile tale

Conform GDPR, poți cere acces la date, rectificare, ștergere, restricționare, portabilitate și te poți opune prelucrării. Scrie-ne la [email protected]. Poți depune o plângere la ANSPDCP (dataprotection.ro).

What we process

  • Account data: name, email and role in the company.
  • On WhatsApp: phone number, messages and files sent. We accept messages only from numbers a company administrator has added and marked as having agreed. Messages from other numbers are not stored.
  • Accounting documents uploaded or collected by the company: invoices, bank statements and other documents, which may contain personal data, for example of suppliers or customers.
  • Technical logs needed to run and secure the service.

Why we process it

  • To keep the company's accounting records: collecting documents, preparing the month for the accountant, notifications and answers through the Jin assistant (legitimate interest).
  • To meet legal obligations, including accounting and tax obligations.
  • To keep the service secure (legitimate interest).

NCMLABS SOFT S.R.L. decides how and why this data is processed. We do not sell personal data or use it for advertising.

Artificial intelligence

Jin reads documents and answers questions using AI models that run on our own infrastructure. Answers can contain errors. An accountant remains responsible for accounting decisions.

Who receives data

  • Meta (WhatsApp Business Platform), to send and receive messages. Meta may also process data outside the European Economic Area, under its own safeguards.
  • Cloudflare, for secure access to the service.
  • Google Drive, ANAF and SmartBill, when the company uses those connections.
  • The company's accountant, through the month link the company generates.
  • Authorities, where the law requires it.

How long we keep data

We keep data while the company uses Registru and, for accounting documents, for as long as Romanian accounting and tax law requires. A company administrator can remove a number from the WhatsApp recipient list at any time.

Your rights

Under the GDPR you can request access, rectification, erasure, restriction and portability, and you can object to processing. Write to [email protected]. You can complain to the Romanian data protection authority, ANSPDCP (dataprotection.ro).
